Overseeing day to day activities of the office, handling correspondence, maintaining appearance of office and common areas.
Providing direct administrative supports as needed, including scheduling appointments, meetings, maintaining filing system, mailing and shipping packages, and updating contact database and employee list.
Employee relations including Benefit administration.
Assist with recruiting, responsible for scheduling interviews & new employee onboarding.
Coordinating annual benefit renewals & business insurance renewals.
Training and support of front office staff to include bookkeeping, customer service, and purchasing.
Research on various topics such as new equipment, software, business practices, computer issues etc.
Document retention, filing and maintaining filing systems.
Answering multi line telephone.
Monitor office supply levels & submit purchase requisition as needed.
Discuss problems with customers, vendors, supervisors, etc as needed for timely resolution, with diplomacy.
Typing correspondence or creating reports as needed for owner, production management, engineers.
Maintain company calendar.
Take notes at employee meetings.
Answer owners & managements questions in a timely manner.
Minimum of 3 years of office management experience including overseeing other personnel.
Experience in manufacturing preferred.
Experience completing annual insurance renewals for business insurance and employee benefits.
Must be able to maintain confidentiality including all financial and personnel issues.
Demonstrated excellent analytical skills, and attention to detail.
Basic Math skills, addition, subtraction, multiplication and division.
Ability to accurately file alphabetically and/or numerically.
Excellent verbal and written communication skills.
Excellent attendance, dependability and maturity.
Must be able to work independently.
Strong time-management and people skills, flexibility, and multitasking ability.
Proficiency with Microsoft Office, Microsoft 365, with aptitude to learn new software and systems and train others.
Ability to establish a Team atmosphere through leadership and employee development. Must possess the ability to get along well with others.
Capacity to prioritize and delegate tasks, and meet deadlines.
Must be comfortable with fast-paced environment
