Create Invoices to Customers daily
Process Customer Remittances & Bank deposits daily
Reconcile bank accounts, credit card accounts weekly and monthly.
Collections –communicating with customers to check payment status of past due invoices.
Check new customer references.
Payroll – prepare & total time cards, track vacation & holiday pay. Keep attendance records.
Answer employees’ questions on benefits, pay records.
Verify & enter Vendor Invoices for payment.
Pay monthly bills, taxes and vendor payables, as approved by supervisor. Communicate with vendors as needed, and to reconcile discrepancies.
Paying bills and taxes by check, by phone, electronically, or as otherwise required.
Track sales tax paid/owed.
Use internet, vendors, other resources for research on various topics such as new equipment, software, business practices, computer issues etc.
Pull & store prior years' documents.
Light cleaning/dusting/organizing.
Track company vehicle maintenance.
Assist in answering multi line telephone.
Monitor office supply levels & submit purchase requisition as needed.
Discuss problems with customers, vendors, supervisors, etc as needed for timely resolution, with diplomacy.
Keeping notes as needed for CPA for month and year end taxes and financial statements.
Create Asset files for new Assets.
Filing.
Typing correspondence as needed for owner, production management, engineers.
Prepare documents for annual insurance audits.
Crosstrain to cover for purchasing and customer service when they are absent, as able.
Take notes at employee meetings.
Answer owners & managements questions in a timely manner.
Must be able to maintain confidentiality in all financial and personnel issues.
Demonstrated excellent analytical skills and ability, attention to detail.
Basic Math skills, addition, subtraction, multiplication and division.
Ability to accurately file alphabetically and/or numerically.
Excellent verbal and written communication skills; ability to effectively communicate with co workers, customers, and vendors.
Ability to meet deadlines with a high degree of accuracy.
Flexibility to work on multiple projects simultaneously; ability to re-evaluate and change priorities quickly and efficiently as needed.
Computer knowledge and skills, including proficiency in Microsoft Office applications, especially Excel, Access, Outlook and Word with the ability to understand and design simple spreadsheets and databases; Quickbooks or other similar accounting software.
Experience processing Payroll.
Team oriented, self-motivated and results oriented.
Excellent attendance, dependability and maturity.
Must be able to work daily or weekend overtime when deadlines require.
Must possess a strong sense of urgency.
Must be able to work independently.
Must be a fast learner.
